Customizing the SharePoint Sign-in Page For ExCM R2 in SharePoint 2013



 
There are products you buy and they are perfect just the way they come. Then, a SharePoint Admin gets their hands on it and makes it more perfect (yes, I said more perfect) by adding their personal touches to it. For an example of this, let me introduce you to the default SharePoint Sign In page:





For the minimalist/functionalist out there, how could there be anything better than this provided sign in? It does the job that is needed without all the frills, thrills and extras. It reminds me of growing up when we never had an ice maker in the refrigerator. My father always claimed it was, "Just one more thing to break!" But he was not the one that had to refill the ice trays and try to avoid spilling them everywhere. My point is, sometimes we want a bit more functionality and personalization. That is why Extranet Collaboration Manager (ExCM) ships with an optional sign in page located here:



After changing this setting you should see this new log in page if you browse to your extranet site:



Please note that the above image reflects the anonymous feature activated. (See the article on allowing anonymous users access to your extranet for further information.)

In my opinion, this is a nicer page than the one that ships with SharePoint, but you may still have some improvements in mind that need to be made. If you have plans to add this to your company's website, you may wish to make it have the same color scheme. Perhaps you want to add your companies logo or embed a video in the log in screen; well, we want you to be able to do this as well. By following these steps, and those listed in the follow-up blog posts, you should be able to customize your sign in page to create a look and feel that is unique and closely reflects your organizations brand.

The first thing you need to do is make a copy of the existing page and palce it in a new folder. We typically call this the "Organization Layout Directory" because it's simply creating a new folder under the "15\TEMPLATE\LAYOUTS" directory that we can use for customized pages. You will need to navigate to the following:


C:\Program Files\Common Files\Microsoft Shared\Web Server Extensions\15\TEMPLATE\LAYOUTS

Once there, click on "New Folder" and name it, perhaps using your company's name or acronym. For this example, I will be working with ACME Co.



Next, you will need to make a copy of the existing page and place it in your new folder. To do so, navigate to:

C:\Program Files\Common Files\Microsoft Shared\Web Server Extensions\15\TEMPLATE\LAYOUTS\SPSolutions\ExCM

Now, find the "SignIn.aspx" page and copy it:



After copying the page, paste it in the new Organization Layouts Directory (ACME in our example):



Now you can edit your page using Notepad, or another editor. The first thing we are going to change is the wording for Windows Authentication sign in:



If we wanted this to read, "ACME Employees Click Her To Sign In" we will need to add this text to the "Text" Section of the signin.aspx page.
 
Do a search for "// Authentication providers" It should pull up a section like the one highlighted below. Do not mess with the <a href> line. In the second line <SharePoint:Encode... there is a Text= "..." Inside of those quotes is where you can change the name of the text that you want displayed. The next part just adds the text of whatever your ClaimProvider is. Typically "windows Authentication" or "AD"


To change the text to read "ACME Employees Click Here To Sign In" I make this section look like;
 
 
 
 
Once the file is saved, change the location of the custom sign-in page within Central Administration. To do this, click on "Manage Web Applications," choose your Web Application and then select "Authentication Providers" from the top ribbon area. Now, click on your zone (I only have the single "Default" one):


Now scroll down to the area where you will define the path for your sign-in page. For this example, we created our Organizational Layouts directory under the Layouts folder, so we will only need to add "ACME" between "\_layouts" and "\signin.aspx", replacing the "\spsolutions\ExCM" currently in there:



Now, save your settings and bring up the sign-in page:

Use the Cloud Search Service Application On-Premises

One of the new features included in SharePoint Server 2016, and also available with SharePoint 2013 as long as you have the required PU, is the Cloud Hybrid Search. The Cloud Hybrid Search has many advantages, especially for end users and if you don’t know what it’s about, check out my overview I did on CMSWire.

The Instructions on how to setup the Cloud Hybrid Search, enabled by the Cloud Search Service Applications do show you how to configure everything so you can search both On-Premises content as well as SharePoint Online content from the SharePoint Online Admin Center. What they don’t include is how to enable your On-Premises Search Center to also see those results. Since the index is fully in the cloud, as soon as you enable the Cloud Search Service Application, your On-Premises search boxes and Search Center will start returning absolutely nothing.

That is because, the default Result Source of your Search Service Application is looking for items in the On-Premises Search Index, which is empty since everything is shipped to Office 365. What we will need to do in order to get this fixed, is configure a result source that uses Hybrid Federated Outbound Search to Office 365, and get the results from that Search Index. Luckily, if you didn’t have Server-to-Server trust already setup before configuring the Cloud Hybrid Search, the On-Boarding process has already configured that for you, so you don’t have anything else to do except the steps in this blog. So navigate your Central Administration, and then to the administration page of your Cloud Search Service Application.

From there, go to Result Sources, and create a new Result Source. Enter a good name and description, so everyone else in your organization knows what this Result Source does, and in the Protocol, select “Remote SharePoint”. In the Remote Service URL, enter your main SharePoint Online site collection which is always https://companyname.sharepoint.com. You can easily find this from your SharePoint Online Administration Center.

In the Type, select SharePoint Search Results, and in the Query Transform, you can customize the Query according to your business needs. In the Credentials Information section, select “Default Authentication”

Click Save, and return to the Result Sources page. From the Result Sources Page, select the dropdown near the Result Source you just created and then select “Set as Default”

Simply go do a search from your Document Library Search Boxes or from the Search Center, and you will start seeing Search Results again!

Create a Simple SharePoint 2013 Employee Directory on Office365 – Part 5 – Sorting & Refiners

This post in the series was sitting in my “outbox” for a long time. Sorry to people like Nigel (@Nigel_Price) who probably gave up on me!

In a company with 100 employees, clicking on once of the letters are the top of the page will probably narrow things down well enough that you’ll see everyone with that letter at the start of their last name on one page. If you have many more employees, you may end up with too many people to see very easily. And since we’re limited to 50 results in the Search Results Web Part, you may need to page and/or scroll a lot, depending on what properties you’ve decided to show for each person (one line vs. two lines or more, for example).

There are a couple of out of the box capabilities we can use to sort or filter our results a bit more. Because we’re using search to drive the directory, we have all of the native search capabilities that SharePoint gives us. Let’s take a look at adding some sorting and improving the refiners.

Sorting

In the Web Part Properties for the Search Results Web Part, there is a checkbox labelled “Show sort dropdown”. It’s in the Settings section (which is full of other options as well).

By checking the box and adding some of our own JSON into the field below it, we can control what sort options are available. The JSON should be an array of sort options taking this form:

The values break down like this:

  • name – The text value you’ll see in the dropdown
  • sorts – The parameters for the sort that apply when the option is selected
    • p – The managed property to sort on
    • d – [0 | 1] If 0, the assort is ascending, if 1 it is descending.

Note that for the Last name sort above, I’m using the RefinableString00 managed property I set up in Part 4. If we tried to do this with the LastName managed property we’d get an error because that property is not Sortable.

Here’s a pretty basic set of sorting options that should at least get you started. I’m giving you four pretty basic sort options:

  • First name (A-Z)
  • First name (Z-A)
  • Last name (A-Z)
  • Last name (Z-A)

You should be able to take this and enhance it for your own needs.

Refiners

Next we probably want to adjust the refiners a bit. Out of the box, the Refiners Web Part will display properties that look to a machine like useful ones, but they may not be the most useful in your organization. You may want to show refiners that are part of the search results already or you may want to show refiners that aren’t visible in the results.

Changing which refiners you see and in what order works like this:

  • Edit the page
  • Put the Refinement Web Part into Edit Mode
  • Click on Choose refiners
  • Change the settings
  • Save it

The key action here is to add or subtract from the Selected refiners in the Choose refiners dialog. For each refiner, you can change the settings on the bottom of the page. Note that refiners use Display Templates as well. I’m not going to go into building Refinement Display Templates, but you can see them in _catalog/_masterpage/Display Templates/Filters.

In my case, I’ve got refiners for Department, JobTitle, PeopleKeywords, and BaseOfficeLocation. You will probably want some others which work for you.

You should see the impact of these changes immediately upon saving the page. Assuming that the properties you have selected have been indexed, that is.

What Next?

There are a number of different directions we could go from here. We could build a similar page to show a Site Directory [Nigel]. We could enhance the display of each person to show additional information about them or metrics about their recent activities. We could add as second alphabetical listing row below the first so that if you selected the letter B, you could the choose the next letter (only lit up if there are people lurking there). As with most functionality like this, coming up with the innovative ideas can be even harder than good execution on them. In this case, some of the limitations in Office 365 make it even more difficult that it should be.

I’d love to see:

  • Ability to trigger a full crawl of the User Profiles when we change the schema. It wouldn’t have to happen right away, but it would at least remove the need for Powershell.
  • Allow us to build a more intelligible set of “RefinableType” properties so that we can manage them better. If we create more than a handful of these special mappings – as most organizations will do over time – then management is going to be cumbersome at best. We can’t even search by the Alias names.

Then basic process here should work for many different use cases. As you’ve probably gleaned from this series, building good metadata and taxonomy isn’t just an academic exercise. The whole point is to make content easier to find, and a People Directory is no different: it’s a customized page that allows us to perform a certain used case in an optimal way. What “optimal” means is going to vary based upon the characteristics of your organization.

  • How big is it?
  • Why would people be looking for each other (beyond the simple phone list idea)?
  • What information is important for people to see vs. that which must be secured?
  • etc.
