SharePoint O365!! Why I see all my site contents are updated at once a few hours ago?

Most of the sites, I've been working with, have not been updated in the recent past. However, one fine day I opened the site content and all the lists and libraries were showing the content was modified a few hours ago. It was not a big deal at that time to figure it out what was the reason behind those 'all of a sudden & all at once' updates. Anyhow, it is time now to see what's going on. Then I found a SPUser Voice shouting at Microsoft about the same issue( reflect the content changes not the system changes). This article is to present some findings about the 'Unexpected Modified Dates'. And one of the factors being the REST Query. PFB, the screenshot..

Recently when I retrieved a list item, I found three different date attributes came along as highlighted below.

Created : Attribute of the content, tells when the item/document is created
Modified : Attribute of the content, tells when the item/document's metadata is last modified
Updated : Attribute of the list item, tells when the list item is last updated.

Before the REST Query

As we can see in the below image, the given lists were updated at the same time.

Then I though of observing which REST query is triggering the mysterious update mechanism. Then this happened...

And then this...

At this point, after observing it for multiple times I came to an understanding that every first time the items are retrieved by using REST query, the date value is getting updated. Since all the above requests are get requests, I tried to access the same resources from the site contents. However, accessing so didn't update the modified date.

I'm really ambiguous about making any further comments on this behaviour and Microsoft's thinking about how this 'Updated' is more useful than 'Modified' time. However, whatever is the intention of Microsoft, presenting it as the last modified date to the user is so confusing/miss-leading. And it raises questions about the integrity of the product.

Interesting thing is this behaviour occurs only with REST queries. I tried the below things as well..

Click on link title and open an item
Managed client object model code equivalent to "/items"
However, the "updated" property of the list object didn't get updated. Final words...

The modified date, for lists, we see in the site contents is getting updated when a user accesses the "items" using REST query (using either code or directly hitting the url in browser's address box) for the First Time - So is it for analysing the REST activities of unique uses on the list? Nay, doesn't make sense.

However, it's not just about the REST calls - It is one of the reasons. There must be multiple reasons causing this behaviour.

Part 1: Useful Office 365 cmdlets to generate SharePoint Online reports and also for SharePoint Online site administration:

In this post I’ll be showing you how to use Office 365 PowerShell cmdlets to generate useful SharePoint Online reports from your SharePoint Online tenant and also I’ll be discussing on certain useful cmdlets that can be used for SharePoint Online site administration. Let’s get started.

Note: Before we get started, please ensure that you’ve configured your PC to run SharePoint Online (Office 365) cmdlets. If not, please take a look on this article which I’ve already written about how to configure that. Also make sure that you’re a member of the SharePoint Online administration role in Office 365.

1. Get-SPOSite -Detailed

This command will give a detailed list of all the site collections in your SharePoint Online tenant as shown in the screenshot below.

2. To get a list of SharePoint groups in your tenant.

Syntax:   Get-SPOSite | ForEach-Object {Get-SPOSiteGroup -Site $_.Url} |Format-Table 

Running this command will generate the results as shown in the image below. Also please note that this command will display the default SharePoint groups as well as the custom SharePoint groups that was created manually.

3. Adding a user to the Site collection administrators group.

Before I go ahead and show the syntax for this, let me go ahead specify the variables here so that it will be easy for us to use that in the command.

$tenant =  “http://ift.tt/29gjiLo “–>This would be my tenant URL

$site = “http://ift.tt/2ao9Ya3” –>This will be the SharePoint site collection URL

$user =” kamaleshg@vigx.onmicrosoft.com” –> This will be the UPN for the user who will be added as the SCA.

Since we have already specified all the variables, let’s go ahead and run the syntax.

Syntax:  Set-SPOUser -Site $site -LoginName kamaleshg@vigx.onmicrosoft.com -IsSiteCollectionAdmin $true

So this will add the user to the SCA group of  a site collection.

4. To get the list of users in my SharePoint Online Tenant:

Syntax:  Get-SPOSite | ForEach-Object {Get-SPOUser -Site $_.Url} 

Running this command will display the results as shown in the screenshot below.

 5.To get a report of the user’s in a site, their display names, permission levels and other properties:

Before I go ahead and execute the command for this, let me specify the $site variable for the site in question.

$site = “http://ift.tt/2ao9Ya3” –>This will be the SharePoint site URL

Note: It’s not necessary that you need to keep specifying the variables every time in a command unless you’re planning to use a different value apart to the one specified for that variable. PowerShell will automatically store it for you till the session is live.

Syntax:  Get-SPOUser -Site $site | select * | Format-table -Wrap -AutoSize | Out-File G:\UsersReport.txt -Force -Width 360 -Append

Running this command will generate a report as shown in the screenshot below.

6. To get a report of the all user’s in your SharePoint Online Tenant, their display names, permission levels and other properties

$tenant =  “http://ift.tt/29gjiLo “–> This would be my tenant URL

Syntax:

Get-SPOSite | ForEach-Object {Get-SPOUser -Site $_.Url} | Format-Table -Wrap -AutoSize | Out-File G:\UsersReport.txt -Force -Width 360 -Append

Note: PowerShell might throw you some errors while running this command but that can be safely ignored.

Running this command will generate a report as shown below.

If you want to export the result to a CSV file, try running the below mentioned command.

Command 1 : For setting the headers in the CSV file

“Display Name`tLoginName`tGroups” | Out-File C:\UsersReport.csv

 

Command 2: Once you’re done executing the first line, run the below syntax to get the report in the form a CSV file.

Syntax:

Get-SPOSite | ForEach-Object {Get-SPOUser -Site $_.Url -ErrorAction SilentlyContinue | %{ $_.DisplayName + “`t” + $_.LoginName

 + “`t” + $_.Groups | Out-File c:\UsersReport.csv -Force -Append}}

This will generate a CSV file as shown in the image below,

 7. To create a new SharePoint Group in a site collection.

Before I mention the syntax, let’s specify the necessary variables.

$tenant = “http://ift.tt/29gjiLo” –>Tenant URL

$site = “http://ift.tt/2ao9Ya3 “–> Site collection URL

$group = “Test Site Owners2” –>SharePoint Group Name

$level = “Full Control” –> Permission level

Syntax:

New-SPOSiteGroup -Group $group -PermissionLevels $level -Site $site

Running the above command will create a new SharePoint Group in the targeted site collection and will give the results as shown below.

8. To create an inventory of all the SharePoint site collections in your Tenant which has the information of the Site Name, URL, Quota, compatibility level and other information etc.… and to export the results to a CSV file:

Syntax:

Get-SPOSite -Detailed | Export-CSV -LiteralPath G:\SiteInventory.csv -NoTypeInformation

Running this command will generate a CSV file in specified path as shown in the image below.

 9. To get your SharePoint Online Tenant information

Syntax: Get-SPOTenant

This will give the complete tenant information as shown in the image below.

10. To get the list of site templates in your SharePoint Online tenant

Syntax: Get-SPOWebTemplate

Running this command will give the list of site templates in SharePoint Online as shown below

Need to mount Microsoft share point 2016 DVD to machine.

Create the Service Accounts needed. We have added the following Service Accounts with permissions to the SQL and SharePoint servers.

Member of the Local Administrators group on SharePoint Server and SQL Server.

(Go to Local Users and Groups -> Administrators group Properties -> Add)

Access to server that runs SQL Server.

Member of the following SQL Server roles:

dbcreator fixed server role

Public fixed server role

Prerequisite tools for Offline Installation: You need to configure Roles and Features on Windows Server 2012 R2.

We need to double click on .Bat file and it will start running.

Node.js / Gulp - SP Sync using Powershell from Visual Studio TaskRunner

One of the key thing during the SP development is to establish the flow of developing, unit testing and deploying to an environment. This can be achieved with the combination of dev tools (Visual studio , VSCode etc), Powershell, MSBuild, Gulp,  and other plugins. In this post, we will see how to invoke a powershell script from gulp to sync all the SharePoint project manifest files to a local environment (SP2016 on premises).

• Create a task within the Gulp file to invoke the powershell as a shell command.

• The above gulp task calls the custom powershell script within the folder "deploy" relative to the gulpfile.js as mentioned below.

• Run the SPSync task from the task runner.

• All the files mentioned in the elements.xml will get synced to the specified site within the spsync.ps1.

This allows us to extend / customise the gulp SPSync task easily. Recently we started using TDD using Intern (JS unit testing framework) and extended our spsync to compile TS, execute Unit test and sync the manifest files to the local environment.

Note: Since we are executing the .ps1 from the VS task runner, the PS cannot have the 64 bit commands.

There is a gulp npm module spsave, spsync to sync the files, but the gulp / ps hybrid gives us a bit of more control over the process for the developers using the powershell.

What are the limitations of SharePoint 2016?

Microsoft recently released SharePoint 2016, boasting many unique features and UI enhancements. One such upgrade is allowing users to make use of a hybrid IT environment in order to help administrators manage both online and on-premises site simultaneously.

If you have decided to upgrade to SharePoint 2016 (Ask These 5 Questions Before Migrating to SharePoint 2016), and want to begin migrating your content and data, make sure you have considered the limitations of the new version and evaluate what impact it can have on your business.

Here are a few limitations that you must evaluate before you migrate:

1. Single Server Installation
   
   While the older SharePoint versions easily allow for single server installation, SharePoint 2016 has slightly complicated the process. Instead of direct installation and configuration, you will now need to install the SQL server exclusively in SharePoint 2016 (not automatically included in the installation package).
   
   
2. Removal of Free “SharePoint Foundation”
   
   In SharePoint 2016, Microsoft has completely eliminated the “SharePoint Foundation,” which is available for free on-premises deployment with all previous SharePoint versions.
   
   This change is unlikely to affect large scale organizations who can afford to buy the enterprise version of the software. However, firms with smaller budgets may not be able to afford to continue running “SharePoint Foundation.”
   
   
3. Business Intelligence Services & Social Tagging
   
   Unlike older SharePoint versions, many of the business intelligence services have been trimmed down in SharePoint 2016. Many of the social tagging elements of – the ability to “like” a particular piece of content, for example – have also been completely eliminated.

Conclusion

SharePoint 2016 has undoubtedly brought about major positive modifications in its architecture, however it has also eliminated most of the free aspects from its installation package. Before you make the jump, ensure you have reviewed the new specifications and evaluated how your business is going to be affected.

Run Audit Reports in O365 SharePoint Online

Is there a reason why View all Auditing Reports > Run Reports > Customise Report isn't working in SharePoint online? This is the question I’m asking myself as this feature works in On Premise environment.

When you try to save the "Content viewing" audit log report in SharePoint Online you’ll get the dreadful “Sorry, something went wrong” error written in a large font. The next line will say “Report contains no data…” as shown below in Figure 1.

As stated above, "Content viewing" audit log report is not available with SharePoint Online. You’ll have to use “Security & Compliance” portal, logged in as Global Admin following the steps below;

I was going to just leave this as a comment on Edin Kapic’s (@ekapic) recent post The dark, hidden side of our technical communities, but I decided I wanted to put it up here instead to make it more visible. (A post usually gets more attention than a comment.)

Every time I read something like Edin’s post, it makes me feel truly bad. I want to treat everyone equally, but that doesn’t really work, either.

One of the joys in life is our human diversity. It goes way beyond what are called “protected classes” here in the USA. People are all different and that’s what makes life interesting. I want to have conversations about those differences and try to understand the ones that can be understood. If we treat everyone the same, we lose out on that festival of variety.

I don’t really understand why that is, where it starts for each promising young female, etc. But I do know that I can do my own best effort to make the women around me feel empowered to do tech if that’s what they want to do. Since hiring Julie Turner (@jfj1997) (in truth we started out more equals than anything else), we’ve had lots of discussions about this sort of thing. I value the different viewpoints she brings to my thinking when we talk about things like speaking at conferences, or business travel, or how to talk in a crowd of techies.

Unfortunately, at the same time that it seems like humankind is becoming more tolerant (LGBT-focused legislation, discussions about women in tech, etc.), it’s also becoming less tolerant (political-driven bigotry and xenophobia, religious zealots, etc.)

I think the best motto for all this might be the old “think globally, act locally”. If we each do our part to make the tech world a better place, it will be. Unfortunately, many other members of the community will also be doing their darnedest to do the opposite. And so it goes…

SharePoint 2013 : How to Render Single Line of Text as Date Range Control using JSLink

While working with one of the assignment I was encountered a requirement where we need to have a Date Range Control in the SharePoint List Form for user entry.

I got the same requirement in the past when I was working with SharePoint 2007, at that time I achieved this requirement by developing Custom Field Type for Date Range and believe me  it was too tricky to handle but we did not have any other option available at hand but this time I made use of Client Side Rendering Framework, which is a new concept introduced in SharePoint 2013.

In this article we will discuss the implementation details of Client Side Rendering Framework to convert a Single Line of Text Column to Date Range Control

And the awesome part about it is we can bring this big change without changing the existing schema of the List itself.

In order to work out the demo, we can start with an existing list “Products”, which have list of Products available in a catalog (an arbitrary scenario) as shown below-

All we need to do is to add Product Validity information into the catalog so that Products can be tracked based on Product Validity Date Range.

So let’s add a new column of type “Single Line of Text” by the name “ProductValidity” as shown below-

Now we need to add a new JavaScript File under any suitable location in your site, for this demo I am adding the file to “SiteAssets” by the name “Date Range – JSLink.js” as shown below-

Now lets’ add the JSLink plumbing to the JavaScript File in the below order-

Step 1: Add required reference to JQuery Files & CSS Files, for this demo we need to add the references to “jquery-1.10.0.min.js”, “jquery-ui.min.js” and “jquery-ui.css”

Step 2: Create a JSON Object that defines the behavior of the List Column on which it is implemented.

                Templates: This is a sub object that can store the information regarding List Template Type

                OnPostRender: Defines the method to be called after the List Column gets rendered

                Fields: Define the Field on which this JSLink should get implemented

Step 3, Step 4 & Step 5: Defines that this JSLink should be implemented on “ProductValidity” Column only when it is rendered in “NewForm” and “EditForm”

Step 6: Finally register Template Override to make sure that JSLink should get precedence over the OOB behavior of List Column rendering.

Now let’s get inside the function “DRFieldTemplate” which will act as Template Override Handler

Step 7: Instantiate Form Context by calling “GetFormContextForCurrentField” method

Step 8: In this step we are reading the “ProductValidity” Column value and split it by “-”, since the values saved to the field as “From Date – To Date”

Step 9: In this step we are preparing the custom HTML to render the List Field in a new way, this is the turning point of this implementation and here you can apply any HTML you like to. This also equally means that we can give any desired look to our List Field in this step.

Step 10: Here we are defining the Get Value Call Back function that supplies SharePoint a custom value for the List Column to save to.

In this step we are getting values from two different input controls (From Date & To Date) and format these values by separating them using “-” character, which can be used as splitter in Step 8 above.

Step 11: In Post Render Callback we are hooking up the jQuery Date Picker control to the HTML Input controls.

It is important to note that Post Render Callback will get execute once the default rendering of the List Form has been completed.

Since we have developed this JSLink to work in ”New Form” and “Edit Form” Mode only, so we need to first apply this JSLink in these two forms.

Apply JSLink in New Form:

Browse the Products List

From the Ribbon choose New Item

Once the New Form loaded, verify if “ProductValidity” List Field is rendered as “Single Line of Text”

Now in order to apply the JSLink, Edit the Page

Edit WebPart

Scroll down to the “Miscellaneous” Section in the WebPart Editor Part

Locate the JSLink Placeholder

Specify the path to the JSLink File

It is important to note that here we need to make use of SharePoint Tokens instead of specify the full path.

Click OK to save the changes.

And if there are no issues with the JSLink sure enough you will get the “ProductValidity” List Field converted from “Single Line of Text” to a Set of multiple controls with Date Picker hooked to it.

Apply JSLink in Edit Form:

For the Edit Form we have to follow the exactly same steps to Apply JSLink as we did in New Form –

Edit any List Item

Validate “ProductValidity” List Field

Edit Page

Edit WebPart

Specify the JSLink File Path and Click OK

While adding or editing an Item, we can select “Valid From” & “Valid To” Date to specify the Product Validity.

These dates will be stored in the Format as shown below

Every time when user edits the item, these dates will get split up based on “-” and set back to the respective date fields.

This simple demo shows how easily can we tweak around and enhance the default behavior of List Form rendering by making use of JSLink mixing it up with latest HTML, JQuery & CSS constructs.
